Job Overview:

Are you an organised and detail-oriented administrator with a passion for keeping people safe? We are looking for a Fire Operations Coordinator / Fire Office Administrator to join our team. In this critical position, you will support our fire safety operations, ensuring all administrative and client-facing tasks run smoothly while maintaining the highest standards of compliance and safety.

Key Responsibilities:

  1. Administrative Support
    • Schedule, organise, and coordinate fire safety works in engineers’ diaries.
    • Prepare and follow up on quotes for fire safety installations and maintenance.
    • Review and process work reports, ensuring timely and accurate record-keeping.
    • Manage correspondence (email, phone, and mail) related to ongoing and upcoming projects.
  2. Client Liaison
    • Act as the main point of contact for customer queries, including emergency call-outs.
    • Liaise with colleagues and relevant stakeholders to ensure efficient job mobilisation.
    • Provide regular updates to clients, maintaining strong professional relationships.
  3. Compliance and Documentation
    • Maintain accurate and up-to-date records of fire safety activities, in line with UK regulations (e.g., the Regulatory Reform (Fire Safety) Order 2005).
    • Assist in compiling documentation for auditing and certification purposes.
    • Support continuous improvement in safety standards, helping ensure the company meets all necessary compliance requirements.
  4. Communication and Coordination
    • Coordinate between different departments (e.g., engineering, sales, and operations) for seamless project execution.
    • Ensure clarity and accuracy of internal and external communications related to fire safety operations.
    • Facilitate any additional support required by the fire safety team to maintainoperational excellence.

Qualifications:

  • Education: A-Levels or a degree in Business Administration, Public Administration, or a related field is preferred.
  • Experience:
    • Proven experience in an administrative role, ideally within the fire safety sector or a similarly regulated industry.
    • Familiarity with fire door installation, fire stopping materials, or maintenance (e.g., BMTrada-compliant procedures) is a bonus.
  • Skills:
    • Strong organisational and time-management abilities.
    • Excellent communication and interpersonal skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
    • Capacity to work effectively in a fast-paced environment, with a keen attention to detail
  • Certifications:
    • Relevant certifications in fire safety are advantageous (e.g., fire safety awareness, fire risk assessment training).
